Part-Time Office Assistant needed for non-profit organization located in Mission Valley. This is an entry-level position that provides basic office support three days a week for four hours each day.  

Qualified candidates will have some office experience, excellent communication and phone skills, and hands-on experience using computers and with Google Workspace and Office 365 programs. This position requires a willingness to learn existing electronic systems used for literature sales, tracking and shipping. Must be able to drive to the post office and physically lift and packages of up to 30lbs. Strong math skills are a plus. High School Diploma or GED preferred.

This part-time position pays $16.50 an hour.

OFFICE ASSISTANTJOB DESCRIPTION

Job Responsibilities 

Daily Duties:

  1. Monitor and process email inquiries from [email protected].

  2. Monitor and process email inquiries from [email protected].

  3. Answer incoming calls, directing appropriately, and taking accurate messages.

  4. Sell literature to walk-in customers providing excellent  customer service; handle cash purchases, making change and tracking sales using existing electronic systems.

  5. Accept contributions from members or groups.

  6. Handle cash donations ensuring appropriate documentation.

  7. Restock literature.

  8. Assist with scheduling volunteers and provide on-site volunteer support.

B As Requested:

  1. Fill mail-orders for literature, packing boxes, using a postage meter, taking boxes to the post office and facilitating other aspects of mailings.

Required Qualifications:
Basic office support experience including:

  • Strong organizational and problem solving skills; excellent communication abilities.

  • Professional and patient approach in answering and directing phone calls, strong attention to detail when taking messages, and ability to answer requests for information appropriately and in a timely manner.

  • Comfort and experience working with computers including with Google Workspace and Office 365 programs. Willingness to learn new programs or software as needed. 

  • Capable of using electronic systems to facilitate and track in-person literature sales, and shipping of books and other materials. Ability to physically manage mailings.

  • Collaborative approach and willingness to work with a wide spectrum of people including a small team of contractors, volunteers, Al-Anon members, and Board members among others.

  • Strong math skills to accurately facilitate in-person and on-line literature sales, and to support regular inventory and facilitate literature sales.

Education/Training:

  • High School Diploma or GED

This position requires physical presence in the office.
